IFC is seeking to recruit a highly motivated, well-organized Program Assistant to ensure smooth operations of IFC MCT Turkiye Hub Office and support the implementation of IFC Program through administrative and other support services to select IFC industry team and/or IFC cross cutting department based in Istanbul.

Duties and Accountabilities:

- Manage calendar, schedule appointments and coordinate meetings and provide timely follow-up on workflow for department's Heads and senior team.
- Provide administrative, logistics and operational support for department's Heads and senior team.
- Draft, review, and edit correspondence, reports, and presentations on behalf of the Head of teams and handle incoming and outgoing communications, ensuring timely responses and appropriate follow-up.
- Maintain confidential files, records, and databases where relevant.
- Draft text, reports, graphs and standard system-generated reports and other communications; process documents for signature, ensuring documents adhere to IFCs standards and guidelines.
- Assist relevant Heads of teams in updating and maintaining iPortal, SharePoint and OneDrive repositories for tracking, e-filing, and archiving system, applying the appropriate record retention policies.
- Handle ad hoc duties as assigned by relevant Heads of industry team and/or cross cutting department.
- Act as back-up to other ACS colleagues in the office as needed.

Selection Criteria

- High School Diploma but having a Bachelor's degree will be considered as an advantage.
- Minimum 5 years of relevant work experience or an equivalent combination of education and experience is required.
- Previous work experience in a broad range of secretarial, administrative, logistics and finance is desirable.
- Excellent administrative, organizational and time management skills.
- Strong computer skills and good knowledge of relevant software applications and IFC systems (Word, Excel, PowerPoint, iDesk, iPortal, Webex, Admin Portal, SAP, etc.)
- Familiarity with WB and IFC policies and procedures is desirable.
- Ability to produce high-quality work and deliver assignment in a timely manner under pressure.
- Demonstrated orientation to towards teamwork and adaptability in working across teams to deliver expected work-product but also ability to work independently
- Excellent interpersonal skills, with a high degree of tact and judgment, to deal effectively with staff at all levels across the World Bank Group and external clients and partners.
- Have high level of dependability and discretion, with proven experience in handling confidential information and in exercising sound judgment.
- Willingness and ability to learn additional systems, processes to assist the country office as needed.
- Excellent English skills, verbal and written, including ability to draft correspondence and proofread/edit materials and ability to interact with stakeholders at all levels. Knowledge of Turkish will be considered as an advantage.
