VPU Context:
The South Asia Region (Afghanistan, Bangladesh, Bhutan, India, Maldives, Nepal, Pakistan and Sri Lanka) is at a crucial stage of development. Rapid economic growth, driven by urbanization and demographic dividend, has brought down poverty rates, but severe forms of exclusion and disparities based on ethnicity, caste, and gender remain. Rapid growth has also come with congestion and pollution in cities. South Asia is more than other regions affected by changes in temperature and extreme weather event. Additional challenges are that South Asia is underperforming in exports, has large informal sectors and low female labor force participation rates. All these challenges must be addressed to secure rapid growth in coming decades. Private sector led growth, focused on investments in infrastructure, energy, logistics and cities are essential to generate the jobs needed to employ South Asia's sizeable youth population. At the same time, the region needs to continue building human capital so that South Asia's population is well equipped for the jobs of the future.

Unit Context:
The Sri Lanka country office is part of the World Bank Group's Joint Country Representation (JCR) initiative, which aims to enhance collaboration and efficiency by having a single WBG Country Manager lead the efforts of the two largest World Bank institutions - International Bank for Reconstruction and Development (IBRD) and The International Finance Corporation (IFC) - in Sri Lanka and the Maldives.
As a one World Bank Group, the organization has been assisting Sri Lanka in developing and delivering appropriate solutions to the country. Under the World Bank Group Country Partnership Framework (CPF) FY23-26, our program is focused on two areas: (i) Supporting resilient, inclusive, and robust economic growth (ii) Protecting and enhancing human and natural capital
The Sri Lanka country office in Colombo has approximately 60 staff from IBRD and 30 staff from IFC.

Duties and accountabilities:
Team Assistants and Administrative Assistants play a crucial role in supporting the successful implementation of the World Bank Group's operations. The World Bank Group office in Sri Lanka seeks to build a competitive pool of candidates to cover staffing needs during the first half of 2025 for the following roles:
- Administrative Assistant, grade GB, under a 3-year term appointment, renewable at the discretion of the World Bank.
- Team Assistant, grade GB, under a 3-year term appointment, renewable at the discretion of the World Bank.
- Extended-Term Temporary for 1 year, level 2, renewable at the discretion of the World Bank and limited to a maximum timeline of three years. Note: Former and current ET staff who have completed all or any portion of their third-year ET appointment are not eligible for future ET appointments.
These roles involve a wide range of office, project-related, and administrative tasks within a team.
Selected candidates will be hired through either World Bank Group institutions, IBRD or IFC. However, as part of the joint country representation, selected candidates may perform duties for both institutions.
The Team Assistant will perform several functions related to support project-team operations, including, but not limited to:
* Provide administrative support to Industry and Task Team Leaders (TTLs) and their teams for projects in Sri Lanka and the Maldives, including handling routine correspondence and drafting internal and external communications.
* Coordinate meetings, travel arrangements, Mission Announcement Letters (MAL), and other logistics related to the program, as well as support operations-related tasks such as processing documents and managing consultant contracts.
* Assist in organizing and implementing events related to programs and visiting missions, including preparing written materials, coordinating with service providers, and scheduling meetings.
* Proofread materials, incorporate agreed comments into documents, and manage shared drives and documentation in World Bank and IFC systems.
* Work closely and provide backup support to other Team and Program Assistants when required.
The Administrative Assistant carries out the full range of office support work. Activities include but are not limited to:
* Liaise with staff and the Ministry of Foreign Affairs to perform protocol activities such as processing all official visas - ETA Visas, Entry Visas, Resident Visas, Visa extension and Group Visas -.
* Coordinate and provide logistical support for expatriate staff in obtaining Diplomatic ID cards, ID renewals, clearing household goods, etc.
* Assist in preparation, catering, and logistical planning for office events and mission visits.
* Maintain current distribution lists, phone/address lists of contacts, and office documentation.
* Coordinate official vehicle clearance, registrations, transfers, disposals, revenue license and insurance.
* Coordinate press releases for external vacancy announcements/advertisements.
The Extended-Term Temporary will perform administrative and/or team assistant tasks.

Selection Criteria
• Minimum of a High School diploma; a bachelor's degree preferred, and 3 years of experience. Prior experience in a similar office/team assistant role in a multi-lingual environment is a plus.
• High organization skills with attention to detail.
Problem solver and quick learner.
• Knowledge of World Bank Group policies and procedures, either for IBRD or IFC, is a plus.
• Proficiency in office information technology and programs (e.g., Word, Excel, PowerPoint).
• Demonstrated ability to work effectively within a diverse team environment, exhibiting strong collaboration skills, treating clients and colleagues at all levels with respect, and consistently acting with integrity to foster trust with team members and external clients and partners
• Excellent written and oral communication skills in English.
