In addition to its investment work, IFC operates a major program of private sector advisory services projects in Latin America and the Caribbean. The objectives of the program are to promote direct investment in the private sector, build local businesses and financial intermediaries, and help improve the business enabling environment, and hence contribute to poverty reduction in LAC. IFC in Latin America is now seeking to recruit a ETT (Receptionist) to be based in Mexico City.

The ETT (Receptionist) will be responsible mainly for receiving the clients as the first point of contact; providing general assistance with correspondence and information inquiries. This position works closely with and reports to the Executive Assistant under the overall supervision of the IFC Mexico Country Manager.

Note: The selected candidate will be offered a one-year appointment, renewable for an additional one year, at the discretion of the World Bank Group, and subject to a lifetime maximum ET Appointment of two years. If an ET appointment ends before a full year, it is considered as a full year toward the lifetime maximum. Former and current ET staff who have completed all or any portion of their second-year ET appointment are not eligible for future ET appointments.

Role & Responsibilities:

This is an entry level office support job, which contributes to the smooth running of the daily operations of the office. The ETT (Receptionist) will carry out a full range of tasks that may vary according to office needs and requirements. Duties will include handling the reception, courier services, correspondence distribution, videoconference scheduling and providing support in ad-hoc activities as required. Responsibilities will involve collaboration with team members in the Mexico City Office, as well as frequent interaction with external counterparts such as consultants, Government officials, international donors, service providers, vendors and members of the private sector and civil society.

• Handle the reception desk - manage incoming calls, transfer callers to the appropriate person, receive and handle correspondence, handle the weekly pouch, welcome visitors, etc.
• Provide a high-quality telephone service (the switchboard) - answering queries, taking accurate phone messages and ensure that they are routed in a timely manner to the intended recipient and in an efficient, pleasant and effective manner.
• Manages incoming and outgoing mail, ensure that any mail addressed to the Country Office is properly registered and reaches the Front Office as quickly as possible.
• Maintain an up-to-date database of Government Officials, Donors, UN agencies, Non-Governmental Organizations, vendors and other institutions and persons regularly associated with the work of the Country Office.
• Handle scheduling of multiple videoconferences and meeting rooms. Supports logistics coordination for conferences, workshops, retreats, learning events, send invitations to participants and follow up on confirmation of attendance as necessary.
• Receive/forward invoices to appropriate departments; coordinate office supply and services orders with vendors Coordinate delivery of checks
• Serve as backup for IFC Program Assistant and provide support to IFC visiting missions and team on the ground as required
• Handle filing and other administrative duties as required
• Provide back-up support to other ACS staff as needed.
• Provide general office support as required and assigned to ensure the smooth functioning of the Country Office.

Selection Criteria

• Fluent in English and Spanish
• High School degree required, College degree preferred
• At least two years' experience in a similar office assistant role; experience in a client service function in a multi-lingual environment would be a plus
• Excellent interpersonal and communication skills and the ability to interact effectively with clients and staff at all levels
• Proficiency in using advanced functions of computer applications such as Microsoft Office (Word, Outlook, Excel, PowerPoint)
• Ability to draft and translate simple correspondence as required
• A proven team player, deeply committed to working unselfishly and highly collaboratively as part of a multi-disciplinary team to contribute productively to the team's work and output; demonstrating respect for different points of view; acting with integrity at all times to build trust with team members and external clients and partners
• Follows guidance from Executive Assistant promptly and proactively
