This role involves managing the day-to-day operations of the office, providing executive administration support, handling front desk client duties, and supporting event coordination. Your new role
General Office Management and Front Desk Duties:
- Greet visitors and manage incoming enquiries via phone, email, letters, and packages.
- Oversee the presentation and maintenance of the office, meeting rooms, and communal spaces, ensuring they are clean, organised, and ready for clients and guests.
- Schedule and organise meetings, events, and appointments, including overseeing catering arrangements for company events.
- Maintain an inventory of office supplies such as stationery, multimedia equipment, refreshments, and kitchen amenities to ensure seamless office operations.
Executive Administration: - Assist the Managing Director with calendar management and various administrative tasks.
- Creating and arranging travel itineraries for directors, executives, and employees.
- Prepare and manage documents for meetings and events, ensuring all necessary materials are available.
- Facilitate the onboarding and setup of new employees, including organising background checks and workstation arrangements.
Event Coordination: - Organising client events such as conferences, roadshows, and boardroom lunches.
- Maintain and update the CRM database, ensuring accurate information for client and investor interactions.
- Assist in the preparation of marketing materials, newsletters, and other communication tools.
- Coordinate investor-focused events and ensure their smooth execution.
- At least 4 years of experience in a professional environment as an Office Manager (experience in Wealth Management, Financial Services, Funds Management, Property, or similar fields is welcomed).
- Strong work ethic and high attention to detail.
- Excellent interpersonal skills for effective stakeholder management and communication.
- The ability to work both collaboratively and autonomously within a small team.
- Exceptional emotional intelligence to pre-empt, understand, and address stakeholder concerns and preferences.
- Keen eye for detail, with a focus on process, efficiency, and outcomes.
- Ability to work full-time in the office across 5 days.
