The Administration Manager's key responsibilities is to support in organizing and coordinating the office administration procedures, develop intra-office communication protocols, inventory control, subordinates supervision and task delegation to ensure organizational effectiveness and safety. The successful candidate will report to the Head Administration.
Key Responsibilities
- Manage vendor on-boarding and service agreement renewal, facilitate vendor assessments to minimize the procurement risk by leveraging on supplier relationships and negotiate for optimal acquisition in quality, cost and fulfillment turnaround.
- Oversee the vendor operational performance and conduct an annual risk levels assessment of outsourcing arrangement as part of the vendor's accreditation process including data security practices.
- Monitor expenditures, identify cost-saving opportunities, optimize resource allocation and manage the vendor payments and financial transactions efficiently.
- Maintain and handle the company motor vehicles (Booking, Service/Repair, Road Tax & Insurance Renewal), DC Mall Season Parking Application, Waiting List Queues (Co & Personal Accounts), Newspaper/Magazine Subscriptions (Print & Digital Formats), Recycle Furniture & Fixtures inventory, Pool Driver Itinerary, Courier services, Indoor potted plants, Water Dispenser maintenance and HLB Shuttle Bus Services.
- Review submission and secure necessary approval of CAPEX Coordinator (Non-IT & IT Fixed Assets) prior sending to the Finance Ops Team for Transfer/Write-off/Scrapping.
- Overseeing staffing/training of direct reports including performance reviews and coordinating special projects through effective planning, meeting scheduling and results monitoring.
Job Requirements
- Malaysian citizen.
- Possess tertiary qualification in Business / Administration / Supply Chain Management or equivalent disciplines.
- 5 years and above working experience in the Administration field with in-depth understanding of office management procedures and departmental policies best practices.
- Working proficiency in English (written/spoken) and competent in Microsoft Office([Word, PowerPoint, Excel) applications.
- Ability to perform work independently, strong interpersonal skills and analytical thinkers with a growth mindset.
