Job Description

We're recruiting for aPersonal Assistantto join us. We're offering a competitive base salary. You will provide a high touch professional PA service to the Head of Europe Institutional & Wholesale and support to their team.

Requirement to be able to communicate in both written and verbal English and German language.
  • Co-ordinating and actively managing stakeholder diaries, anticipating issues, managing priorities and conflicts
  • Arranging all meetings in a collaborative manner to ensure optimum use of stakeholders' time in locations, during meeting and when travelling
  • Actively managing incoming correspondence via email and the telephone dealing with general enquiries or transfer as required
  • Coordinating travel plans on behalf of stakeholders via the Distribution Team Travel Desk to include booking transportation, accommodation, drafting itineraries and process expenses using appropriate tools to ensure off site meetings and other events can be attended in the most time efficient and cost-effective way
  • Managing attendance and preparation for meetings and events by providing timely reminders of action points and gathering, collating and circulating papers and documents prior to meetings. Greeting clients as appropriate to escort them to the meeting and ensuring their experience is in line with expected standards of service deliver. As well as attending meeting and taking minutes/action points as required
  • Producing and formatting documents, papers, reports and presentations within brand guidelines to meet Company standards
  • Administering the recruitment administration and on-boarding process for all new starters within the team including setting up of introductory meetings with key stakeholders
  • Carry out administration tasks e.g., initiating / payment of invoices (in conjunction with the Distribution Team Travel Desk), filing / archiving, maintaining accurate records including sickness, holidays, expenses, corporate responsibility & entertaining etc
Qualifications

Who we're looking for:
  • Requirement to be able to communicate in both written and verbal English and German language
  • Experience as a PA or EA
  • Working knowledge of Microsoft office packages
  • Excellent organisation skills
  • Attention to detail
