CGAP works at the frontier of inclusive finance to test solutions, spark innovation, generate evidence, and share insights. To achieve this, CGAP will focus on contributing to seven outcome areas through its work program: (i) mobilizing financial services for climate adaptation, mitigation, and a just transition; (ii) mobilizing financial services for building resilience to shocks and managing risk; (ii) mobilizing financial services for women and MSEs to capture economic opportunities; (iv) increasing the breadth and depth of financial inclusion; (v) promoting responsibility in financial ecosystems and enabling financial sector policies and regulations; (vi) enhancing the effectiveness of impact investing in inclusive finance and the inclusiveness of carbon markets; and (vii) generating and promoting evidence of what works, where, and for whom.

Job Duties and Responsibilities:
CGAP is seeking an Extended Term Consultant - Event Organizer (ET Consultant) to join CGAP's expanding efforts in advancing financial inclusion for the poor through CGAP's influence and advocacy work. The Consultant will report to the Corporate Team Lead.
The ET Consultant will be involved in the planning, organizing, and evaluation of CGAP external events (i.e., conferences, symposiums, annual Council of Governors meetings, workshops, webinars, etc.) and large internal events as needed.
The ET Consultant will perform in a multifaced role and provide a broad range of operational support, including but not limited to logistics, resource coordination, reporting and communications, member relationship support, and post-event analysis.
He/she will be expected to undertake the following responsibilities and shall contribute to other CGAP operations activities as needed:
1. Efficiently plan and organize workflows for CGAP's program of conferences, symposiums, and other events with external and internal participants.
2. Support logistical operations for events, including venue identification, resource coordination, and collaboration with the World Bank and partner organizations.
3. Liaise with host and venue focal point in order to obtain meeting rooms and facilities and other contributions to meetings.
4. Collaborate with other teams (both internal and external) to plan technical requirements, procurement, travel, visa support, IT platforms, and other elements for optimal participants experience.
5. Lead on the travel and accommodation arrangements for sponsored participants, in coordination with CGAP's Corporate team and Front Office.
6. Maintain a database for the registration of participants at meetings and ensure that all registrations are acknowledged. Produce the list of participants on the basis of registrations received. At meetings, organize the on-site registration of all participants and oversee the registration team. Oversee the production of badges for participants at all meetings.
7. Address diverse and daily queries by clients and propose solutions.
8. In collaboration with CGAP Communication Team, perform quality control of conference materials, ensuring accuracy and branding consistency. Draft and produce associated communication materials as needed.
9. Coordinate speakers' communication, facilitating pre-panel meetings, preparing/coordinating and distributing panel write-ups, maintaining a high degree of professionalism.
10. Conduct comprehensive pre-conference briefings to ensure staff, speakers, facilitators, and vendors are prepared for optimal delivery.
11. Provide in-meeting services and back-up including collecting and loading PPT presentations, printing and oversee on-site catering.
12. Facilitate the creation, organization, and accessibility of information repositories to enhance information sharing, and support decision-making.
13. Develop and maintain vendor partnerships to ensure cost-effective and high-quality services.
14. Conduct post-event analysis to evaluate events.
15. In coordination with the Communications team work on major virtual events with external speakers.
16. Act as an admin contact on vendor and STC procurement contracts, travel requests, and other logistics related activities.
17. Participate in special projects and ad hoc requests as assigned by the Corporate Team and Front Office.

In addition to meeting the World Bank-wide criteria for this level position, it is expected that the selected candidate would meet the following criteria (in order of importance):
• A master's degree in business administration or other related field.
• At least 2 (preferably 5) years of relevant work experience in a large international organization or company.
• Demonstrated experience with conference services and events management.
• Excellent interpersonal and diplomacy skills; ability to effectively interact with external and internal stakeholders of all levels.
• Proven ability to work in teams and multi-cultural environment.
• Demonstrated ability to work under tight deadlines, handle multiple tasks and take initiative.
• Proficiency in Microsoft Office and thorough competency in PowerPoint are required.
• Experience with key virtual event platforms such as Webex, Zoom, and MS Teams.
• Strong oral and written communication skills in English, including the ability to speak, write, and present ideas clearly and concisely.
• Ability to function independently with limited oversight. Capacity to work simultaneously on a variety of issues and tasks independently, adjusting to priorities and achieving results within agreed objectives and deadlines.
• Demonstrated high attention to details, ensuring accuracy of all documents and communications.
• Fluency in French or Spanish is considered an advantage.
