The Travel and Expense Coordinator will manage travel arrangements and expense report processing for select colleagues. They will be responsible for supporting the coordination of travel plans through our agency's online travel service. They will also be obtaining, managing, and organizing the necessary receipts for processing expense reports through our online expense reporting system. This individual will ensure all travel and expense activities are carried out efficiently and in accordance with company policies.

Travel Coordination
  • Books domestic and international travel for select colleagues, including flights, accommodations, transportation and other travel-related services
  • Ensures travel arrangements are cost effective, within company policy, and align with colleagues' preferences
  • Communicate travel itineraries, confirmations, and any necessary travel documentation to colleagues
  • Handles changes or cancellations of travel plans as needed

Expense Management
  • Processes expense reports for select colleagues using our expense reporting system, ensuring accuracy and compliance with company policies
  • Obtains and verifies all necessary receipts and documentation for expenses submitted
  • Reconciles corporate credit card statements and resolve any discrepancies
  • Processes payments related to expenses in a timely manner

Policy Compliance
  • Maintains a thorough understanding of the company's travel and expense policies
  • Ensures all travel and expense activities company with internal policies and external regulations
  • Provides guidance to colleagues on expense submission and travel policy adherence

Communication and Reporting
  • Serves as the primary point of contact for travel and expense-related inquiries
  • Generates and analyzes reports on travel and expense activities, identifying areas for cost savings or process improvements
  • Liaises with vendors and service providers to resolve issues or discrepancies

General Office Support
  • Supports the Insurance Support Coordinators as needed
  • Supports Office and Facilities Supervisor as requested

Required
  • High school diploma or equivalent required

Preferred
  • Associate or Bachelor's degree in business administration, finance or related field
  • Experience in a similar role particularly in travel booking and expense management
  • Experience using Concur or similar expense management software
  • Proficiency in Microsoft Office Suite, particularly in Excel
