To provide primary support to the Global Specialty International Chief Underwriting Officer and additional administration support to the International Finance Director and Chief Operations Officer.
Job Responsibilities & Competence
- Mailbox management for the Chief Underwriting Officer
- Complex diary and calendar management for CUO, COO and FD
- Schedule and coordinate internal and external meetings, including minute taking
- Act as first point of contact with internal and external customers and liaise directly
- Produce documents, briefing papers, reports and presentations
- Manage and reconcile expenses on a monthly basis
- Arrange and coordinate events as required
- Devise and maintain office systems, including data management
- Arrange travel, visas and accommodation
- Screen phone calls, enquiries and requests, and handle them when appropriate
- Organise meetings and ensure that the executives are well prepared
- Meet and greet visitors at all levels of seniority
- Create good working relationships with all stakeholders
Qualifications & Capabilities
- Ability to multitask and prioritise, whilst maintaining strong attention to detail
- Personable and articulate, with the ability to build strong relationships
- Confident can-do attitude and problem solver
- Excellent written and verbal communication skills
- Ability to maintain strict confidentiality and discretion
- Competency in Microsoft applications including Word, Excel, Outlook and MS Teams
- Must have experience with minute taking and committee meetings
Experience
- Experience as an Executive Assistant, Personal Assistant or similar role within a corporate environment, is desirable
