Your role
Your tasks will include:
• managing calendars, incl. coordination of conference calls, meetings, departmental events and visits in coordination with key internal and external stakeholders
• arranging travel bookings, itineraries and visa coordination
• assisting with processing of invoices and expenses
• compiling data and preparing documents and presentations
• organizing workshops, and conferences, coordinating locations, attendees, materials and communication
• supporting the wider GIA Chief of Staff area, such as the GIA training team with scheduling training events, organizing logistics and checking training attendance
• providing organizational support, including managing office space and ordering supplies and equipment, incl. coordination of new hire requirements and equipment
• supporting on-boarding/off-boarding of staff

Your team
You'll be working in Group Internal Audit (GIA), based in Cracow, Fabryczna street. GIA provides the Board of Directors and senior management with assurance that the firm's risk management, governance and internal control processes are operating effectively. Its role is to provide an independent and unbiased view of how risks are being managed.
The function has over 800 professionals working in more than 15 locations, with teams covering the Investment Bank, Global Wealth Management, Asset Management and Group Functions,. You'll join an Executive Assistants team in GIA's Chief of Staff function and will work closely with colleagues globally.

Your expertise
You have:
• several years of administrative experience (experience in HR training support will be an asset) in a fast-paced, global environment
• proven ability to handle confidential information
• demonstrated proficiency in Microsoft Office (Outlook, Word, PowerPoint, Excel, Teams)
• ability to identify problems, find solutions and prioritize
• a strong client focus
• good data analysis and processing skills

• a strong written and verbal communicator
• comfortable interacting with colleagues at all levels
