Job Description: Investment Governance Administration - Private Equity

Position

Team member within Investment Governance operations capturing, maintaining and reporting governance data for investments and corporate structures across the end-client portfolio (global reach/multi-jurisdiction).

Summary of Role

Working with team members (total 4-5 in London), internal stakeholders, third-party administrators, and external advisory to collect and maintain data on investment structure entities, portfolio companies and their officers.

Review and update structure charts for investment structures and provide timely submission of the data held to the Investment team members for review and approval. Maintain logs of critical dates/events for company returns/reporting (to internal stakeholders and external agencies): responding to inbound documentation detailing investment structure formation and subsequent investment fund flows/add-ons through those structures.

Service requests for information from around the wider business: Deal teams, Compliance, Corporate Administration, Tax...

Alongside the operations of this administration group, there is a process improvement project redesigning process flows and data management.

Note: The postholder will be focussed on data capture of business events, review and reconciliation of positions, business and process rule capture and communication to be reflected in the task ticketing and workflow application, ServiceNow. (Implementation TBA)

Working to protocols/procedures even when the client is trying to cut corners or is not willing to accept real-world constraints is one of the key challenges of the role. There will be times when it is necessary to confer with colleagues to achieve a realistic approach to client requests. It is important that you recognise the need to escalate within the team and set realistic expectations with the client as soon as possible.

A further challenge is to be able to work on urgent matters while not neglecting important tasks. Getting the balance right so that the less visible tasks are still accomplished in a timely manner will call for a disciplined, structured approach to time management

It is expected that post-induction/probation, the postholder will engage with the Change project: liaise with internal Change Management and systems specialists to support continuous process improvement and enhancement of operational process, data capture, validation and presentation.

Working Hours

Standard Monday - Friday 40-hour week. Cover to be provided for evenings/weekends at critical times of year - so, flexible but planned working patterns can be expected. Currently the team is operating a hybrid model of home / office working. It is highly likely that there will be opportunity for continued home working for a proportion of the week. (Proportion will be agreed from time to time and is unlikely to be fixed for long periods).

Note: In this role, it is unlikely but where it is necessary to work with client teams in remote locations, it may be necessary to time-shift working hours to overlap with their local time. (Luxembourg / Hong Kong / Australia / USA)

Technical Skills
  • Experience and competency with Microsoft Office particularly strong MS Excel is essential
  • Accuracy and attention to detail
  • Experience of eFront, Investran or similar fund accounting and administration application would be an advantage.
  • Experience of the working culture of Private Equity, a Fund Administrator (servicing Private Equity), or the wider investment management sector or legal M & A services.
  • Reconciliations of all events impacting positions by producing corresponding transactions.
  • Experience of a support desk ticketing application is desirable. (ServiceNow or equivalent)


Accounting Expertise

  • Accounting experience - part-qualified acceptable. There is a need to understand basic balance sheets and role is concerned with balance-sheet accounting issues: capital allocations, loans and similar. Accounting / Company Secretarial terminology forms a significant part of documents recording M&A and Cap Table activity.


Interpersonal Skills

  • You will be self-motivated. After the induction period and within a few weeks in the BAU team, you will prove capable of managing your own time to fulfil the routine daily tasks.
  • Able to work Independently and jointly, with colleagues on complex tasks,
  • be able to communicate diplomatically and clearly using standard English (with people who may not be native English speakers) and have good written skills.
  • You will have good/proven problem solving and decision-making abilities, pay attention to detail and be both accurate and reliable.


Based in Central London . Embedded with our client. Some occasional, short-term travel is possible. Some opportunity for home working / hybrid working. (TBD).

Note: We work in a "white glove" environment. Our client community demands promptness and effectiveness - often with a degree of urgency which conflicts with other plans and tasks.

This is an opportunity to see Private Equity investment operations "in the round" and understand the post-deal investment lifecycle. Postholders could expect to progress in Corporate Administration, or other functions within a Private Equity enterprise.
