Description of the Business Line or Department

Provide comprehensive secretarial and administrative support to a team of bankers in GLBA/DCS/SYN/LCM (Leverage Syndicate) and GLBA/DCS/SYN/CAP (Bond Syndicate). Ensuring a very high level of client service and seamless liaison with DCS colleagues in all global locations.

Summary of the key purposes of the role

• Management of team's very busy diaries, ensuring that the most effective use is made of their time. This will involve keeping abreast of any meetings/conference calls/trips etc, handling requests for appointments and amendments and frequent liaison with both internal and external clients.

• Excellent communication skills written and oral, presenting a professional and articulate persona at all times. Must also be clear, confident and polite dealing with internal and external parties at all levels, whether by email, face to face and by telephone.

• Each banker works differently, the secretary needs to understand what is required of them - weekly meetings with bankers will ensure that they are up to date with his/her diary - plan ahead in an efficient way.

Summary of responsibilities

• Extensive diary management and planning for team (which involves working with internal / external senior executive PAs)

• Global liaison: communicating with both internal and external clients at a very high level

• Organising functions and events which involve clients (investor breakfasts, client hospitality etc)

• Extensive travel organisation (including processing visas accurately and in a timely manner)

• Processing of expenses, subscription requests, hardware/software for bankers' working from home set up

• Management of confidential information: setting up of confidential deal folders, gatekeeping access, reporting on quarterly basis

• Onboard new joiners - equipment, internal systems

• Answering telephones in a professional manner

• Maintaining Peoplesoft (Société Générale absence management system)

• Updating Client and staff contact lists

• Coordinate with two other PAs across DCS UK set up, including providing holiday, sickness and other ad-hoc cover
