Branch Operations Manager - Administration General Office Duties:
  • Manage the admin inbox and address enquiries.
  • Handle branch and donor enquiries via phone and email.
  • Check voicemail and respond accordingly.
  • Supplies and Financial Management:
  • Manage office supplies (both stationery and kitchen supplies).
  • Monitor and record donations using the database
  • Maintain a spreadsheet of assistance provided and payments.
  • Membership and Board Support:
  • Prepare new member applications for approval.
  • Issue new membership badges and lanyards, along with welcome letters.
  • Assist the Executive Director (ED) in preparing board papers and meeting minutes.
  • Compile board report summaries related to branch membership, events, safety, and financial assistance.
  • Create branch membership and office bearer snapshots for the annual report.
  • Event Coordination, fundraising and Projects:
  • Help coordinate Branch Regional events (approximately 3 to 4 times a year).
  • Collaborate with the ED on project-based needs.
  • Manage authority to fundraise for community event applications and notify relevant branches or individuals.
  • Handle branch event notifications in the event spreadsheet and calendar.
  • Oversee branch merchandise orders
  • Other Responsibilities:
  • Manage the issuance of receipts to donors (within two days of receiving non-platform-based donations).
  • Circulate an office bearer contact list to all staff if any changes occur.
  • Process fundraising appeal donations and issue receipts.
  • Provide donation summaries to the finance team for reconciliation.
  • Address issues and updates related to the organization's webpage and portal.
  • Update social media pages with branch-related information.
  • Provide weekly ThankQ batch reports to the finance team.
  • Prepare and cleanse mailing data for AGM proxy vote notices.
  • Skills & Experience
    • Excel/ Word
    • Thankq knowledge beneficial or the workings of a CRM or software system.
    • CANVA
    • Facebook - Good organisational skills/ demonstrates attention to detail and time-efficient
    • Skilled in minute-taking, document preparation and database maintenance
