Job Summary

As a PMO Analyst, you will play a pivotal role in supporting our Project Management Office by focusing on scheduling, booking, and invoicing activities. You will ensure that project timelines are meticulously maintained and financial transactions are accurately processed. This role requires a blend of strong organizational skills and financial acumen to support our IT projects and financial operations effectively.

Key Responsibilities

Scheduling and Booking (70%)
  • Project Scheduling: Develop and maintain detailed project schedules, ensuring all milestones and deadlines are tracked and communicated effectively.
  • Resource Booking: Manage and coordinate the booking of resources, including personnel, equipment, and facilities, to align with project requirements.
  • Calendar Management: Maintain and organize project calendars, ensuring timely scheduling of meetings, reviews, and other project-related events.
  • Liaison: Act as a point of contact between project managers, team members, and stakeholders to facilitate efficient scheduling and resource allocation.
  • Documentation: Prepare and update project documentation, ensuring all schedules and bookings are accurately recorded and easily accessible.
Invoicing (30%)
  • Invoice Processing: Verify, process, and manage invoices related to IT projects, ensuring accuracy and adherence to purchase orders and approved budgets.
  • Financial Tracking: Monitor and track invoicing activities, ensuring timely submission and payment processing.
  • Budget Reporting: Assist in preparing financial reports on budget utilization, providing insights and updates on financial status to relevant stakeholders.
  • Accuracy Checks: Ensure the accuracy of General Ledger postings and track OPEX utilization.
Finance Support
  • Financial Reporting: Prepare and update reports on budget utilization and balance details, including additional reports requested by upper management.
  • Budget Management: Track IT project utilization and work closely with IT PMs to project, prepare, and submit cash flow projections to upper management.
  • Claim Submission: Verify, prepare, and submit claims to upper management on a timely basis.
  • Annual Planning: Collate information and prepare the annual IT Workplan and participate in yearly budget planning.
PMO Support
  • Project Tracking: Support the CIO Office PMO team in tracking and managing IT projects.
  • Resource Planning: Collaborate with IT PMs on financial, resource planning, and reporting activities.
  • Risk Assessment: Review and update the yearly Enterprise Risk Assessment for IT.
  • Maintenance Renewal: Oversee IT maintenance renewals to ensure timely updates by project managers.
  • Guidance: Provide guidance to IT PMs regarding the creation of Purchase Requisitions and Project Charters.
  • Demand Review: Assist in the review of demands in ITBM.
Ad-Hoc Duties
  • Issue Resolution: Handle ad-hoc IT issues escalated by users for resolution.
  • Additional Tasks: Perform any other ad-hoc duties as required.
  • Experience: At least 5-6 years of experience in a supporting role within IT or project management.
  • Financial Acumen: Ability to study, analyze, and interpret financial information.
  • Process Knowledge: Strong understanding of process and business workflow.
  • Technical Skills: Proficient in Microsoft Excel (including V-Lookup, Pivot Tables), and PowerPoint.
  • Communication: Excellent verbal, written communication, and interpersonal skills.
  • Multitasking: Self-motivated with the ability to multitask and work in a fast-paced environment.
  • Industry Experience: Experience in the healthcare industry is an added advantage.
