Senior Executive Assistant, Market Risk

Team/Role Overview

Citi's Global Market Risk team oversees the firm's Traded Risk globally and has eighty plus professionals based in London. The Senior Executive Assistant provides support to the Global Head of Legal Entities Market Risk, as well as three other senior Managing Directors, all based in London. The role handles confidential correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements and providing other administrative tasks.
  • Directly supports four Managing Director and generally supports an entire department along with one other Senior EA.
  • Manages day to day calendar(s) of senior management.
  • Coordinates all aspects of executive level manager appointments, meetings, receptions and conference calls.
  • May prepare and review materials and correspondence for meetings.
  • Assists with creation/modification of presentations, spreadsheets, and other various documents.
  • Coordinates travel arrangements; prepare and distribute schedules/agendas for travel.
  • Prepares, reconciles, and tracks expense reports through the Travel and Entertainment Expense system.
  • Orders supplies and process invoices through the Procure to Pay system.
  • Process and follow-up on Virtual Requests.
  • Assists in ad-hoc reports and special projects as needed.
  • Trains, coaches or guides other administrative staff when required.
  • Manages secure access to the workspace, and floor planning and moves.
  • Liaises with premises staff for maintenance and related matters requiring arrangement
  • Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behaviour, conduct and business practices, and escalating, managing and reporting control issues with transparency.
  • Arranges access, workstations and onboarding for new hires.
  • Provides cover for the group's other Senior Executive Assistant, who manages the Global Head of Market Risk, four other MDs and jointly the entire team.
What we'll need from you
  • Previous office administration experience preferably within a large and complex financial services or similar organisation.
  • High integrity given access to sensitive and confidential information.
  • Highly proficient in Microsoft Office.
  • Consistently demonstrates clear and concise written and verbal communication skills.
  • Demonstrated ability to quickly gain command of new systems.
  • Self-motivated and detail oriented.
  • Confidence in projecting a positive tone, especially when dealing with senior management and their EAs across the firm and externally.
