Operation and General Administration:
  • Supporting and assisting the CEO and Senior Management with a variety of office management and administrative support tasks as required on a daily basis;
  • Handle all aspect of HR and Administrative functions including payroll processing, CPF submission, and preparation of invoices to third-party vendors and counterparties;
  • General administrative tasks include the scheduling of appointments and meetings, organization and maintenance of diaries and calendar, arrange of travel, visa and accommodation, handling documentation, filing and coordination duties;
  • Minutes taking during meetings or to provide general assistance before and during staff or client presentations;
  • Dealing with incoming emails, faxes, mails and any correspondences on behalf of the Senior Management when required;
  • Maintaining the general upkeep of the office premise and ensuring all office furniture, fixtures and office equipment are well-maintained and in good working order;
  • Maintaining good filing systems in the respective office cabinets;
  • Ensure that the IT Infrastructure including the in-house Data Server, Telephone and the Internet connection in the office runs smoothly;
  • Maintain and monitor office supplies and stationary usage and place orders as required to vendors;
  • Manage the Office/Meeting Rooms keys and the Main Entrance Door Access Control system so as to maintain the highest level of security in the office;
  • Managing the Staff Leave calendars and ensuring staff comply with responsibility to complete Leave Forms when they take standard leave, medical, childcare or any other types of leave;
  • Assist with other tasks relating to HR and Admin support as required by the Senior Management.


Accounting and Finance Administration:
  • Supporting the Finance and HR operations and oversee full financial and controlling related activities including statutory accounting (full set of financial statements i.e. Statement of Comprehensive Income, Balance Sheet, Statement of Changes in Equity and Statement of Cash Flows) and management reporting functions, including the handling the records of the general ledger and its full sets of accounts (AP/AR/GL) of the Company, its subsidiaries and related entities, on a timely basis and in accordance to International Financial Reporting Standards;
  • Maintaining good accounting records of the Company, and its related entities (if any), including, but not limited to the following : (a) reviewing and monitoring of cash balances and reconciliation of bank accounts, (b) arranging payment of bills invoiced by vendors and preparing cheques for signing, (c) Checking, verifying and processing of payments, (d) maintaining full records of cash, receipts and payments made in reimbursement to staff, including managing the mileage records and reimbursement to senior management, (e) reviewing of the company's accounts regularly, handling of the company's tax and audit matters, (f) Generating of the company's invoices and creating payment, (g) Liaison with external auditors, (h) performing monthly, quarterly and yearly closing of accounts, preparation of yearly audit schedules and other reports required by the Company, subsidiaries and related entities, and ensuring timely closing of accounts during month-end/year-end;
  • Monitoring regulatory capital requirements, such as maintenance of base capital requirements at all times;
  • Acting as the key point of contact for communication and coordination of financial matters with external auditors, regulatory bodies such as IRAS & MAS as well as the Fund Administrator;
  • Analysis of variances & preparation of monthly accounts schedules for management reporting;
  • Prepare annual audit schedules and coordinate audit process with the external auditors;
  • Preparation of budget, cash flow statements and bank reconciliation;
  • Ensure timely and accurate regulatory reporting to the MAS including quarterly submissions (Form 1, Form 2, Quarterly Income & Expenditure Statement), Annual MAS submissions and other MAS submissions as and when required (eg Survey of Services and other MAS Surveys) ;
  • In charge of quarterly GST filing for the company;
  • Monitor and ensure compliance with regulatory requirements;
  • Manage accounting data, prepare and provide tax agent with information required for Corporate Tax filing and Income Tax filing;
  • In charge of HR and Payroll duties, submission of CPF contributions and ensure they are meet statutory requirements;
  • Providing administrative support to the managing directors and management;
  • Liaising with the Company's corporate secretary on all corporate matters;


Fund Management Administration:
  • Oversee all fund management accounts and provides oversight to the Fund Administrator's work in accounts management and account maintenance for all Fund's accounts that is managed by the Company;
  • Assist the CEO with the follow up works with the Fund Administrator, Fund's clients and Fund legal counsel and other related parties in managing the Fund's segregated portfolios companies with underlying segregated portfolios;
  • Attend meetings with CEO and follow up with actions with all third-party service providers;
  • Review, Scrutinize, Spot errors on all Fund's monthly and/or quarterly NAV reports and investor statements so as to ensure all Fund's accounts are correct and any mistakes are updated with the Fund Administrator at all times;
  • Assist to make payments through the Fund's bank account if required;


Compliance Administration:
  • Assist the CEO in handling and managing all compliance matters of the Company as a Capital Markets Services ("CMS") - Fund Management license holder;
  • Assist the CEO in handling of various reporting to MAS and other regulatory bodies as well as lodgement on the appointment of representatives and other information through MASNET or via other MAS IT infrastructure;
  • Assist the CEO in performing any AML procedure, documentation of know your client and perform system check on the IT infrastructure system including the remote IT standalone system maintained by third party;
  • Assist the CEO in reviewing and update of compliance manual, standard operating procedures, client KYC checklist and subscription forms;
  • Assist the CEO in reviewing MAS circulars and announcements and inform CEO of any important circulars that affects our company;
  • If any, coordinate and liaise with outsourced compliance consultant to improve our existing operation as well as updating the compliance manual.


Core Competencies Required for this Role:
  • At least 5 years experience in Accounting and Finance in a similar role in previous professional experience
  • A degree in Accountancy from reputable universities or a Professional Qualification in Accounting, i.e. CA or CPA
  • Knowledge of an accounting software is required, or willingness to be trained to operate an accounting software
  • Possess good verbal and written communication skills and fluent in written and spoken English
  • High degree of mathematical and accounting accuracy in work
  • Ability to work under pressure at high levels of performance
  • Good time management and ability to effectively prioritise work
  • Self-motivated and committed, willing to help out wherever and whenever required
  • Able to work independently with minimal supervision
  • Good attention to detail and responsiveness
  • Ability to multi-task between various responsibilities and working across multiple clients'
