The Team

The Fund Accounting & Trailer and Management Fees department as part of the DWS COO division is responsible for all fund administration related activities on our German and Luxembourg mutual and institutional funds, as well as the billing and invoicing of our German and international institutional clients. Team EMEA Management Fee is an integral part of the business unit and makes an essential contribution to the global success of our organization.

As an Operations Specialist - Management Fees (m/f/d) you will be responsible for the timely and accurate invoicing for the management services rendered by DWS to our German and international mandates clients. You will work closely with external stakeholders such as clients, auditors and regulators and internally you will liaise with our Front Office, Legal, Contract Management, Compliance, Finance and Tax group teams. Moreover, you will be in charge of a constant review and evaluation of processes and performance to develop and implement efficiencies and best practice, making suggestions for initiating risk prevention measures and opportunities of improvement.

The position is currently limited to one year.

Your key responsibilities:

• Full and timely billing and invoicing of the German and international institutional clients, contracted by different DWS entities, in accordance with the local tax legislation and local regulatory requirements
• Processing of the monthly accruals
• Excellent understanding of the contract documentation for review and operational purposes
• Client onboarding activities: clarification of the tax treatment and the booking financial data, initial set up into the billing system...etc
• Monitoring and proactive escalation of the outstanding records
• Oversight on the offshore processes: review and update of the key operating procedure documentation
• Close interaction and cooperation with internal and external stakeholders
• Development and implementation of sustainable solutions to monitor and reduce risks
• Application of business strategies and goals of various product and business lines in compliance with all internal and external regulations / guidelines as well as the agreed SLAs, KRIs and KPIs
• Proactive escalation of risk issues to the senior management
• Review, challenging and amendment of the current processes to ensure continuous excellence
• Proactive support CTB projects and future developments related to the invoicing processes
• Clarification of discrepancies around incoming invoices from external asset managers
• Collaboration with auditors and management of the potential findings

Your skills and experiences:

• Bachelor degree in Economics with focus on Finance or Mathematics or equivalent experience
• Preferred: experience in a billing and invoicing business area
• Strong communication skills, business fluent in written and spoken German & English
• Ability to work in a rapidly evolving environment, quickly understand technical innovations and make the most of them
• A learning mind-set, ready to experience new ideas and situations regularly
• Practical experience with internal and external stakeholders and service providers
• Highly organized with the ability to prioritize and track multiple tasks to successful completion
• Open-mindedness and the ability to share information and provide expertise and competence within the team

Das Team

Als Operations Specialist- Management Fees (m/w/d) sind Sie verantwortlich für die korrekte und zeitnahe Abrechnung der Managementgebühr für unsere deutschen und internationalen institutionellen Kunden. Sie arbeiten eng mit externen Stakeholdern wie Kunden, Wirtschaftsprüfern und Aufsichtsbehörden zusammen und arbeiten intern mit unseren Front-Office-, Rechts-, Vertragsmanagement-, Compliance-, Finanz- und Steuergruppenteams zusammen. Darüber hinaus sind Sie für eine ständige Überprüfung und Bewertung von Prozessen und Leistungen verantwortlich, um Effizienzsteigerungen und Best Practices zu entwickeln und umzusetzen, Vorschläge für die Einleitung von Risikopräventionsmaßnahmen und Verbesserungsmöglichkeiten zu machen.

Die Position ist aktuell auf ein Jahr befristet.

Ihre Hauptaufgaben:

• Vollständige und fristgerechte Rechnungsstellung der deutschen und internationalen institutionellen Kunden der verschiedenen DWS Gesellschaften gemäß der lokalen Steuergesetzgebung und regulatorischen Anforderungen
• Erstellung und Übermittlung der monatlichen Rückstellungen/Abgrenzungen
• Ausgezeichnetes Verständnis der Vertragsdokumentation für die Überprüfung der operativen Umsetzbarkeit
• Kunden-Onboarding-Aktivitäten: Klärung der steuerlichen Behandlung und der Buchungsfinanzdaten, initiale Anlage des Vertragspartners im Abrechnungssystem u.v.m.
• Überwachung und proaktive Eskalation der ausstehenden Datensätze
• Überwachung der Offshore-Prozesse: Überprüfung und Aktualisierung der Handbuchsdokumentation
• Enge Interaktion und Zusammenarbeit mit internen und externen Kunden
• Entwicklung und Umsetzung von nachhaltigen Lösungen zur Überwachung und Reduzierung von Risiken
• Beachtung aller internen und externen Vorschriften/Richtlinien sowie der vereinbarten SLAs, KRIs und/oder KPIs
• Proaktive Eskalation von Risikovorfälle an die Geschäftsleitung
• Überprüfung und Anpassung der aktuellen Prozesse, um eine kontinuierliche Exzellenz zu gewährleisten
• Proaktive Unterstützung von CTB-Projekten und zukünftigen Entwicklungen im Zusammenhang mit dem Rechnungsprozess
• Klärung der Unstimmigkeiten bei Eingangsrechnungen von externen Asset Managers
• Zusammenarbeit mit den Wirtschaftsprüfern und Verwaltung der potenziellen auditrelevanten Punkte

Ihre Fähigkeiten und Erfahrungen:

• Erfolgreich abgeschlossenes wirtschaftswissenschaftliches Studium mit Schwerpunkt Finanz oder Mathematik oder vergleichbare Ausbildung
• Von Vorteil: Erfahrung im Bereich Trailer & Management Fees
• Ausgeprägte Kommunikationsfähigkeiten, verhandlungssicheres Deutsch und Englisch in Wort und Schrift
• Große Lernbereitschaft und die Aufgeschlossenheit, neue Wege zu gehen
• Erfahrung im Umgang mit internen und externen Kunden sowie Dienstleistern
• Ein hohes Maß an Eigeninitiative, wohlüberlegt und selbstbewusst in der Entscheidungsfindung
