Job Summary:
Corporate Services is responsible for Real Estate management (strategic planning, lease transaction, project, design and construction management and facilities management); Corporate Security; Housekeeping; Mail Distribution, Documentation, Destruction and Storage; Catering Services and Reception Management.

Reporting to the Head of Corporate Services, Management Reporting & Facilities Management under Finance Organization. The Corporate Services Leasing & Operation Manager is responsible for HKEX's Leasing activities and supporting the Head of Corporate Services in the overall management of the department and in particularly the cross functional operational aspects of the department, including financial management, risk management, talent management, department communication and engagement, corporate social responsibility and strategic project execution, with the aims of delivery of high quality of services standard across the various teams within Corporate Services and drive increased alignment and cohesion.

Job Duties:

Responsibilities:

Lease Management
  • Responsible for the lease portfolio management for HKEX and group entities
  • Support the development of the real estate strategy for HKEX by working with the wider CSD team in defining space demand vs. supply, market, location consideration and other factors leading to a cost efficient long term real estate strategy
  • Lead and manage all lease transactions activities including new premise due diligence, lease negotiation, lease documentation, rent review and lease exit, etc.
  • Manage regular activities such as rent and management fee payment
  • Manage relationship with all internal and external stakeholders including internal business units, real estate consultants and landlords
  • Lead and collaborate with other CSD space management team members to deliver key real estate initiatives
  • Continue to review and improve lease related process and activities, taking into consideration of new technology and tool
  • Responsible for all real estate budget and cost management
Financial Management
  • Plan and prepare financial budget
  • Partner with Finance in secure funding approvals
  • Track, monitor and report on budget against actual commitment and spending
  • Forecast spend and work with the various team leads to device action plans to affect the spending outcome to meet HKEX' budget objective
  • Perform long term planning and strategic planning on real estate initiatives
  • Perform regular financial reporting responsibilities such as fixed asset review, insurance declaration, regular accruals and modelling
  • Review, develop and improve Corporate Services cost allocation methodology to HKEX's internal stakeholders
Risk Management
  • Lead and drive a coordinated and consistent risk programme for all the sub-functions across the CSD department
  • Be responsible in proactively identifying potential risks and issues; and look to mitigate and eliminate them.
  • Support and collaborative work with the CSD teams to manage incidents reporting, escalation and resolution.
  • Be responsible for the planning and coordination of Business Continuity activities and Firmwide disaster recovery effort to support HKEX
  • Be the point contact for internal HKEX risk related functions such as Risk, internal Audit, Compliance, Information Technology Risk and 3rd Party Vendor Risk.
Talent Development Management
  • Partnering with HR, lead and drive a coordinated and consistent talent development programme for all sub-functions across the CSD department
  • Collaborate with the CSD team leads to review training requirements that are specific to CSD as a department. For training that is not typically offer by HKEX HR, be responsible for the training programme curation.
Corporate social responsibilities
  • Work across the CSD department, partner with the various teams to deliver a coordinated Corporate Social Responsibility programme addressing environmental impacts, ethical responsibility including diversity and inclusion, philanthropic endeavors and financial responsibilities.
Requirements:

•Degree holder in related disciplines preferred

•10+ years relevant Corporate Services leasing experience

•Candidate with strong Corporate Services operation experience and senior stakeholder engagement preferred

•Possesses good speaking and understanding English and Chinese language skills

•Adhere to the importance of confidentiality and integrity

•Excellent communication and interpersonal skills to deal with different levels of users

•Great attention to details

•Willing to work in non-office hours, weekends and public holidays

•A problem solver with patience and positive mind-set; self-motivated and proactive attitude

•A team player with a helpful attitude
