Role profile: Job Description

An exceptional Project Manager/Business Analyst is required to support the Strategic Contract Digitisation programme in executing its vision to mature the organisation's approach to contracting, spanning both contract data and the contracting process.
  • Engaging in discovery efforts across multiple functions to identify opportunities and shape requirements to unlock value for Citi through better use of contract data or optimised contracting processes
  • Collaborating with various partners to help to design and deploy relevant industry best-practice solutions
  • Enhancing Citi's approach to contract storage, working with subject matter experts and vendor teams to consolidate existing and future agreements into strategic repositories
This individual will work closely with partners across the Business including, but not limited to, Chief Data Office (CDO), Legal and Technology to ensure the timely delivery of SCD programme goals. It is crucial that the candidate is self-motivated, proactive and outcomes-focused.

The role's responsibilities include, but are not limited to:
  • Identifying and defining contract data use cases across a broad population of interested stakeholders, spanning in-business functions and cross-product groups, across a range of seniority levels
  • Supporting the prioritisation of contract data use cases and associated business case in preparation for the implementation of solutions to deliver on such requirements
  • Mapping 'as-is' and 'to-be' business states for contracting solutions and storage, identifying opportunities for improvement, analysing impacts of change, and summarising options & recommendations
  • Driving implementation of contracting solutions and/or storage target state
  • Actively managing one or more projects end-to-end, maintaining alignment with programme milestones, and ensuring key deliverables are met to a high quality to progress the overall SCD roadmap
  • Conducting detailed project planning including defining project milestones, deliverables, and timelines in accordance with Strategic Contract Digitisation objectives
  • Managing technology/vendor teams as well as internal and external stakeholders to ensure success, as required
  • Ensuring SCD operates in alignment with broader teams and programmes delivering work related to contract digitisation and maintaining visibility of such activity
  • Acting as champion and advocate to drive adoption of digital contracting capabilities, including proactive communication of the Strategic Contract Digitisation (SCD) roadmap, principles, and vision
  • Facilitating working group meetings and workshops with stakeholders including preparing meeting materials and documenting meeting minutes
  • Developing and maintaining subject matter expertise around contract data and process digitisation
  • Managing project risk, issues, assumptions, and dependencies with a strong focus on ensuring there are clear owners and resolution dates
This role is initially aligned to Contract Centralisation. Contract Centralisation is one of three core workstreams within SCD - the goal is to create a wide-ranging, flexible and searchable contract data set to meet Citi's strategic needs by centralising global client legal contracts into a strategic repository and delivering a step-change in contract management and accessibility through defining and harmonising taxonomies and meta-data, standardising formats, and enacting the initial digitisation of the contract population.

Reporting to the Contract Centralisation lead, the successful candidate will:
  • Play a central role in management and execution of the workstream, including:
    • Managing, and working with, a third-party vendor team engaged to deliver the workstream objectives
    • Managing relationships with key business stakeholders to deliver the centralisation of their document populations - ensuring that they are both meeting their own obligations to the success of the project, and being kept abreast of the overall project progress
    • Driving the solution design of the required migration frameworks e.g., taxonomy and meta-data, use of AI and Machine Learning to provide data models
    • Navigating the complex web of Citi processes, procedures and approvals to optimise the delivery schedule
    • Providing core project management across the workstream, including maintaining plans, tracking risks and issues and providing detailed management reporting
In parallel, the role-holder will be a key member of the wider SCD team and will support other programme initiatives as required. Beyond the delivery of centralisation, they will move into other areas of the multi-year delivery roadmap - activities will include:

  • Experience in driving change within a large, global organisation - preferably within a Financial Services, Legal or technology firm
  • Ability to work independently with a strong attention to detail, to juggle multiple priorities and to thrive in a varied, fast-paced environment
  • Ability to work effectively under pressure and subject to tight deadlines
  • Outstanding interpersonal and communication skills, with the ability to drive consensus and exert influence at all levels
  • Excellent presentation skills with the ability to articulate complex concepts in a clear and concise manner
  • Project management skills including developing and maintaining comprehensive project plans - preferably in MS-Project
  • Business analyst skills including process design/re-engineering, analytical/problem solving capability, requirements gathering, use case definition and workflow mapping
  • Excellent planning and task management skills; capable of seeing the bigger picture as well as strong focus on day-to-day execution
  • Significant relevant experience as a project manager or business analyst within a complex organisation - preferably within a Financial Services, Legal or technology firm
  • Deep experience of financial markets, products, and services
  • Experience of Alternative Legal Services, Contract Lifecycle Management, Document Digitisation and use of AI and Machine Learning to drive document insights are all very beneficial
  • Proven experience of engaging and communicating with senior stakeholders
Exceptional candidates who do not meet these criteria may be considered
