Overview of Division/Department

Our General Administration (GAD), a member of our Asia & Oceania Administration Department, supports the Singapore Office with 4 functions (Expenses, Singapore Coordination, Secretarial Support and General Affairs) which include general expense, coordination and liaison between Head Office and other divisions, secretarial support, Japanese welfare, office administration, facility management and communications.

Job Responsibilities
Your key roles & responsibilities include:
1. Overall office facility management
2. Office Security related and PCSC administration (Resignation, Activation and Deactivation)
3. Warehouse storage and all related processes
4. Control of Office Assets and related matter (i.e. Entry Sheet, Self-Assessment, Summary of Investment- Expenditure, Inventory check)
5. Monthly cleaning and stock check at DRP site
6. Vault duty roster - vault opening and closing duty and coordinate for yearly dial combination
7. Control and maintenance of office equipment (i.e. Secom, CCTV, UPS etc)
8. Annual DRP rehearsal, building fire drill exercise & WSHA
9. Maintenance of SECOM call tree
10. Office renovation coordination
11. Coordination of Crime Prevention Seminar
12. Self-Inspection Sheet - Classification & Appointment of Person in Charge
13. Onsite Shredding Coordination and billing
14. Office Maintenance Contract (Equipment & Cleaning)
15. Administrator of Uniflow

Job Requirements
What you should have:
  • Minimum diploma in Facilities Management or relevant related discipline from a recognized tertiary institute
  • At least 3 years of relevant experiences in facilities management
  • Proficiency in MS Office
  • Highly motivated, meticulous and will to be cross trained in various aspects of facilities
  • Team player with good communication skills and ability to liaise with all levels of people
  • Proactive and independent
  • Willing to work on weekends (if necessary)
