We are looking for an experienced and detail-oriented Office Manager, Executive Assistant to join the PIMCO team to provide support to senior management, including the Head of APAC. In addition, this individual will be responsible for managing the Hong Kong Administrative Support Team and the overall office, including relevant vendors.

Responsibilities:
  • Provide secretarial support to senior management, including calendar management, travel, expenses and other logistical arrangements; strong attention to detail and ability to manage complex schedules required
  • Prepare materials for internal and external meetings, including presentations, spreadsheets, management reports, agendas to a professional standard
  • Manage Hong Kong Administrative Support team; lead by example; onboard new staff to Hong Kong office
  • Understand corporate policies and serve as subject matter expert to broader team
  • Handle full spectrum of office administration such as leading the administrative support for corporate events, office procurement and other ad hoc projects
  • Coordinates ordering of supplies, seating plans and office moves to ensure efficient use of office resources, handle expense/ invoice processing in a timely manner
  • Administrator for several applications, including Workday, Concur, video-conference technology
  • Support logistics and administrative support for incoming visitors


Position Requirements:

  • Minimum 10 years of working experience, including serving senior management and team lead experience
  • Financial Services background a plus
  • Demonstrate sense of personal accountability and urgency for achieving results
  • Versatility at being a sole contributor but also a strong team leader
  • Professional demeanor, particularly with clients calling and visiting our offices
  • Strong time management skills, ability to prioritize and multi-task in a dynamic environment
  • Strong attention to detail, ability to keep information organized and confidential
  • Verbal and written communication skills in English and Mandarin/Cantonese
  • Demonstrate proficiency with technological tools
