Position Description:

This position may be based in Newport Beach, CA or New York, NY.

Overview : This role has oversight of the day-to-day supervisory duties of administrative assistants in order to ensure efficient service to the managers they support.

Key activities of this role include , providing coaching, guidance, and expertise, to administrative professionals across business groups. The supervisor will be a subject matter expert and key advisor to internal clients and key stakeholders on administrative matters. Attention to fairness and perception must be a constant focus of this position.

• Develop and manage strong relationships with administrative assistants and managers.
• Set goals and objectives and actively manage performance to meet business needs.
• Proactively meet with staff to address assignments, concerns and needs.
• Meet with managers regularly to solicit performance feedback regarding support and business needs.
• Collaborate with other supervisors, managers and team leads to discuss best practices.
• Plan and coordinate team-building events.
• Participate in the annual compensation/promotion process.
• Oversee Concur expenses and reconciliation practices.
• Understand CRM, UMW and ReadSoft, and any system used by the administrative team.
• Maintain various distribution lists.
• Approve timesheets and vacation requests in Workday for administrative staff.
• Conduct regular staff meetings.
• Provide staffing updates to managers and assistants regarding new hires and changing assignments.
• Work with senior management to review headcount forecast.
• Lead the recruiting and interviewing process.
• Manage new hire orientation/training schedules.
• Understand and develop policies and procedures and be a resource for special requests.

Position Requirements:

• Track record of embodying PIMCO's values of Collaboration, Openness, Responsibility and Excellence.
• 8 - 10 years of progressive and inclusive administrative supervisory experience.
• Ability to develop strong working relationships with people of all levels.
• Able to analyze/interpret difficult situations, and quickly make recommendations for resolutions.
• Capacity to work independently and manage multiple priorities.
• Exceptional organizational ability and attention to detail.
• Excellent written and oral communication skills.
• Proficient in Microsoft Office.
• Two-year college degree is preferred but not required.
