We are working with a large insurance firm (NYSE listed) that is now expanding into the buy side asset management industry and they are in need of a Portfolio Administrator.to perform portfolio accounting, reconciliation, and reporting. This is an essential and foundational position for the effective functioning of Investment Operations. Precise organized, and highly accountable professionals are desired. A successful Portfolio Administrator combines excellent math and problem solving skills, a sound proficiency with technology (from Outlook and Excel to Bloomberg, PAM, and IBOR Solutions), and a strong customer service approach.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

• Basic understanding of financial markets and investment vehicles

• Facilitator of existing cash management and forecasting function ensuring the Investment team is provided with accurate cash balances on a daily basis.

• Ensure internal and external reconciliations are performed in accordance with company policies and procedures. Make recommendations to improve upon the reconciliations performed as well as where additional reconciliations may be required.

• Requires close and frequent communication (email and phone) with counterparts at custodial banks and internal settlement team.

• Develop relationships and partner with internal departments to improve upon Investment Operations department.

• Stay abreast of regulatory and industry changes that may/will impact the Portfolio Administration.

• Coordinate with Portfolio Manager, Traders and Third-Party Asset Managers in an effort to provide excellent customer service to the Investments and Investment Accounting departments.

• Oversee necessary steps for other operational activities over an account lifecycle, such as contributions/withdrawals, audit requests, and account terminations.

• As/where necessary, be prepared to support both managerial and staff responsibilities to ensure the Portfolio Administration and Trade Support teams are successful in performing their daily responsibilities and functions.

• Follow existing KPIs, SLAs and management dashboard guidance aimed at ensuring the critical functions are complete and accurate.

 

EDUCATION AND/OR EXPERIENCE:

• Bachelor’s degree in Accounting, Finance or Economics.

• Up to 2 years’ experience working for an asset management firm or hedge fund in middle and back office operations.

• Familiarity with/knowledge of Bloomberg, Bloomberg AIM, PAM for Investments, PAM for Securities, SOX/SOC 1 control framework, Data Visualization Tools (e.g., Tableau, Power BI), Reconciliation Software (e.g., Electra STARS, DUCO), SWIFT messaging, Corporate Actions, Collateral Management, Fixed Income, Derivatives and Data Governance preferred.

CERTIFICATES, LICENSES, PROFESSIONAL DESIGNATIONS:

• CFA preferred.

• Ability to work cooperatively and successfully with employees, customers, and other outside third parties.

• Strong organizational and planning skills.

• Proficient in the use of MicroSoft Office Suite.

• Ability to read, analyze, and interpret general business periodicals, professional journals and technical/operational procedures.

• Ability to define problems, collect data, establish facts, and draw valid conclusions.

• Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.

• Ability to successfully handle pressure and meet deadlines in a fast-paced work environment.
