We are currently looking for an individual, with a flair for writing and communication, to join us as an RFP Specialist/Senior RFP Specialist in Hong Kong/Singapore.

Global RFP & DDQ Services has in excess of 30 staff in multiple locations across Asia, Europe and the United States, writing RFPs and other new business and existing client submissions across a broad range of equity, fixed income, multi-asset and alternative strategies for institutional and retail clients. It is a division within the firm's global distribution function.

Global RFP & DDQ services is responsible for completing RFPs and other new business or client-related questionnaires which accurately and favorably represent the organization, and its investment products and services, to prospective clients and advisers. The RFP Specialist is an individual contributor role, with responsibility for completing and/or coordinating RFPs and other new business-related questionnaires, as well as due diligence questionnaires for existing clients, at medium and high levels of complexity. The role is highly interactive and requires close teamwork with internal clients (Sales, Client Services, Consultant Relations and Product Management) and other business partners globally in order to meet critical timelines and provide accurate and timely information to potential clients. The role is instrumental in developing and enhancing client and consultant relationships, through generating quality responses that positively impact next stage and win rates.

What are the ongoing responsibilities of this position?

Response content development and delivery:
  • Collaborate with colleagues and business partners, such as Distribution and Product Management to identify and interpret external client requirements. May participate in initial strategy development meeting.
  • Draft, refine and finalize responses, which draw upon specific domain expertise, e.g. of technical (product) and/or distribution channel.
  • Support customization to external client requirements or specific questions, and draft new responses for peer review.
  • Discuss newly drafted content with business partners in Distribution and Product Management to deliver responses that position the organization and its capabilities accurately and meet external client requirements.
  • Identify potential workload challenges, based on the complexity of responses, and discuss potential solutions with management.

Review and approval:
  • Review own work to ensure consistency with best practice guidelines and that draft responses meet external client requirements and accurately position the organization.
  • Ensure all appropriate approval/review steps have been completed and documented for each submission with inputs from RFP team leaders, Product Management team and the Distribution team.
  • Review peer submissions to ensure consistency with best practice guidelines, and that draft responses meet external client requirements and accurately positions the organization.
  • Provide feedback and guidance to Associate Specialist/Specialist roles to aid understanding and professional development.

Building relationships:
  • Build and maintain strong working relationships with colleagues and business partners, particularly the distribution partners, to support developing external client relationships at the tactical level.
  • Build external client-segment specific knowledge, e.g., their requirements, investments, and preferences, etc.
  • Derive insights from relationships and external client and product knowledge to ensure new business responses accurately represent the organization.

Database content management:
  • Support the update of existing content, distinguishing between opportunity-specific customization and generic content.
  • Independently create original content or update existing content based on emerging requirements or new areas of external client focus, distinguishing between opportunity-specific customization and generic content.

Others:
  • Lead and/or participate in ongoing initiatives to support global business requirements, such as training, reporting, and tools or systems development and maintenance.
  • May actively propose/use automation tools, including supporting content refreshes and quality checks involving strategic vendors.


What qualifications, skills and experience would help someone to be successful?
  • Demonstrated asset management proposal experience, preferably in a global environment. Additional general financial services or asset management experience is highly desirable.
  • At least 3 years of working experience in the asset management industry and 1 year of RFP experience.
  • Detailed understanding of institutional and retail asset management, plus good knowledge of financial markets globally.
  • Broad product knowledge, across equity, fixed income, real estate and alternatives (or experience/education to develop this knowledge quickly).
  • University degree or equivalent knowledge and experience.
  • CFA or other professional financial qualification or equivalent knowledge would be advantageous.
  • Good verbal and written communication skills, plus strong proofreading skills.
  • Ability to read and write Mandarin is highly desirable.
  • Ability to interact effectively and professionally at all levels of seniority and across multiple cultures.
  • Flexible and adaptable, ability to adjust to changes in workflow and succeed in a fast-paced, deadline-driven environment.
  • Meticulous attention to detail, across all aspects of data, language and grammar, and general layout and presentation.
  • Excellent project management and organization skills, able to manage multiple tasks and meet tight deadlines.
  • Strong working knowledge of MS Word, Excel, PowerPoint and SharePoint, and experience of content database software.
  • Team-player, tactful and diplomatic.
  • Self-starter with strong work ethic and genuine interest in learning.
  • Collaborative, participative interpersonal style, able to work constructively with colleagues across the entire global team.
