Are you a passionate Executive Assistant looking for a new role?

We have a great opportunity for you where you will be able to develop your skills and push your career forward. This is a fast-paced role requiring a positive, confident, and proactive approach so you will be able to work productively in a pressurised environment.

In this role you will be supporting our Macquarie Asset Management & Transactions team.

Your responsibilities will include, but will not be limited to
  • extensive calendar management, including booking meetings, managing conflicts, and booking rooms/catering etc
  • handling confidential and sensitive material - always exercising discretion
  • coordination of documents for meetings including sourcing background information and supporting documentation, printing, binding, scanning where required
  • uploading information to Diligent, co-ordinating IC agendas and chasing papers
  • reconcile and review daily movements and balances on portfolio mandates
  • calculation of quarterly fees received or paid
  • processing invoices; ensuring approvals are actioned as needed
  • processing monthly Amex / expense claims ensuring deadlines are adhered to and approvals are actioned as required

  • producing and coordinating documents for board papers and meetings, including printing, binding, scanning
  • general ad hoc requests and support including organising events for the team
  • providing support for other Executive Assistants if required.

To be successful in this role you will have a minimum of 3 years work experience supporting directors, senior directors and a team within a fast-paced office environment.

You will have a good working knowledge with Outlook and Microsoft Office and be able to manage several calendars, working across different time zones.

You will also have:
  • exceptional organisational and time management skills
  • managing information flow in a timely and accurate manner
  • have excellent attention to detail
  • strong verbal and written communications skills.
  • working as part of a team.

You will, make decisions accordingly and having a proactive and enthusiastic attitude, with the ability to anticipate needs of team members will be essential. As well as your judgement and discretion when dealing with confidential matters and being able to work as part of a team will be beneficial in this role.
