Position Description:

JOB DESCRIPTION
PIMCO Human Resources is seeking a Recruiting Operations New Hire Onboarding Analyst/Associate to join the Total Rewards - People Operations team. This role will be responsible for coordinating the logistics and execution of the new employee pre-hire onboarding process. The New Hire Onboarding Analyst/Associate will deeply focus on the new hire employee experience, be a strategic partner to the Recruiting Operations team and work to redesign and implement new workflows in PIMCO HR's pre-hire onboarding processes. This role will focus on creating enhancements and systematizing historically manual processes moving towards automation. They will provide exceptional support for new employees as they join the organization as well as guide internal hiring managers on how to best integrate new joiners. This role also has the opportunity to further increase technical expertise and gain exposure to PIMCO's Human Capital Management (HCM) system, Workday. Additionally, the New Hire Onboarding Analyst/Associate will be a valuable contributor in the team's focus on continuous improvement by finding opportunities and supporting implementation of process and technology enhancements.

RESPONSIBILITIES
Core HR Foundational Knowledge
•Serve as the point person for candidates by facilitating in-person, phone, and videoconference interviews
•Responsible for onboarding of all new hires; including but not limited to:

oCommunicate with candidates through the onboarding process
oPartner with candidate and external vendors through visa sponsorship
oProcess and adjudicate background checks
oManage new hire paperwork at point of offer acceptance including offer documents, Form I-9, Legal & Compliance forms, and EEO forms, and escalate disclosures for review when applicable
oPartner with internal stakeholders to ensure all necessary actions are taken prior to the new hire start date including, but not limited to: preparation of an onboarding plan, coordination of logistics for training assignments, collaboration with Talent Development team on new hire orientation training, assistance with arranging technology for remote employees, management of FINRA registration process in partnership with Legal and Compliance, etc.

Data and Systems
•Complete relevant onboarding processes in PIMCO's Human Capital Management (HCM) system, Workday
•Execute recurring reviews of new hire data in HCM to ensure consistency, timeliness and integrity globally

Continuous Improvement
•Review and provide process improvement suggestions to enhance and further streamline current new hire onboarding processes and procedures
•Manage any new hire onboarding process updates and implement new processes across broader HR teams in partnership with Recruiting Operations team
•Maintain and make administrative updates to communication templates that are distributed to candidates, new hires and internal stakeholders to ensure consistency

Employee Experience and Projects
•Provide exceptional candidate and new hire employee experience through clear process guidance and support
•Work closely with cross-functional HR teams to provide People Operations support
•Interact with the candidates, new hires, internal hiring managers and global HR teams as applicable to provide onboarding operations support
•Take on and be part of projects related to role and provide meaningful contributions

Communication
•Provide consistent follow up, guidance and timely responses to various stakeholders
•Communicate and collaborate effectively with candidates, new hires, various stakeholders and team members
•Develop credibility and trust and build mutually respected relationships with the People Operations team, across global HR colleagues, employees and other stakeholders

APAC People Operations (POPs) Associate
Job Description
PIMCO Human Resources is seeking an APAC HR Associate to be a key member of the People Operations team. The APAC POPs Associate will be a key HR Operations member shaping the employee experience from pre-hire onboarding process to responding to employee/ex-employee inquiries within expected service level agreements (SLAs).
The APAC POPs Associate will focus on the new hire employee experience and be a strategic partner to the Talent Acquisition leads, recruiting coordinators and hiring managers. They are a key resource on operational processes for candidates' transition into new joiners, and play a significant role in HR Technology enhancements (e.g. Avature to Workday Recruiting project) that impact the new joiner experience.
The APAC POPs Associate will play a critical role in providing personalized support and solutions regarding HR processes, while creating a positive and impactful experience for employees globally. There will be exciting opportunities to participate and manage projects to implement and drive adoption of HR Technologies (Workday, ServiceNow, PIMCO Pulse), HR processes and HR programs.
As this role increases depth and knowledge within HR, there is growth and opportunity to take on complex employee inquiries and propose solutions to new issues as they arise. The APAC POPs Associate will network across the different disciplines within HR and engage with HR team members globally. Additionally, the APAC POPs Associate will be a valuable contributor in the team's focus on continuous improvement by finding opportunities and supporting implementation of process and technology enhancements.
Responsibilities
Core HR Foundational Knowledge
• Understand and execute on PIMCO's end-to-end HR business processes, including but not limited to those related to onboarding, mobility, benefits, payroll and timekeeping.
• Serve as offered candidate's main HR contact, responsible for onboarding of all APAC new hires, including but not limited to:
o Coordinate with Talent Acquisition on presenting offer letter and supporting documents to final candidates
o Communicate with new joiners on onboarding documents, uploading signed documents and escalate disclosures for review when applicable
o Partner with candidate and external vendors through visa sponsorship
o Process and adjudicate background checks and escalate to Talent Acquisition team where necessary
o Partner with internal teams to ensure smooth onboarding on-site (from Technology helpdesk team for equipment logistics, HR teams for orientation, Hiring team for preparing accesses, to Legal and Compliance for necessary FINRA registration)
• Manage employee queries as Tier 1 HR member and act as an escalation point to Tier 2 HR specialist teams, for more complex inquiries and monitor follow-up to resolution
• Continuous Process Improvement: Identify process improvements and manage projects from conception to implementation
• Process transactions across HR systems and ensure data quality is maintained
• Knowledge Management: work globally and cross-functionally to consistently execute on HR business processes; effective at gathering and synthesizing information from multiple parties
Employee Experience and Projects
• Provide essential support to address individual HR needs of employees and managers, in line with PIMCO's policies as they navigate the employee experience at PIMCO
• Champion exceptional client service by providing excellent inquiry support with emphasis in creating the best possible employee experience throughout the employee lifecycle
• Take on projects that increase engagement and improve employee experience
Communications
• Provide thoughtful, accurate and timely responses to HR colleagues, employees, managers, and business leaders
• Deliver inquiry-related data and insights on themes to improve the employee experience and navigate change management

Position Requirements
• Bachelor's degree from an accredited college/university
• Excellent technology skills, specifically Microsoft Word, Excel, and Outlook
Knowledge and Skills
• 1-3+ years of HR experience, Shared services experience is helpful
• Working knowledge of Workday and/or ServiceNow
