Position Description:

As part of the Global People Services Talent Acquisition team, the Recruiting Coordinator Manager's primary focus is ensuring premium interviewer, candidate, stakeholder, and vendor experience and managing a team of recruiting associates (logistics and coordination role). The role will also manage strategic projects and executive-level high priority interview support. The ideal candidate thrives in a people manager role, sets a high bar for performance and ensures a culture of inclusion and growth for our Recruiting Associate team. This role is a leadership role expected to set an inspiring example for the team, continuously pushing for best-in-class process execution, candidate experience and keeping an eye out for strategic and technology-enabled opportunities to enhance efficiencies across teams.

The role is based in Newport Beach, CA.

Responsibilities:

  • Staffing and managing team of Recruiting Associates (RAs)
    • Train new hires on functional responsibilities of RA role including maintenance of documentation
    • Set high performance standards and provide regular feedback/coaching to direct reports
    • Collaborate with regional leads to define management routines for global GPS RA team and ensure consistency around process execution and data integrity
  • Main point of contact for recruiters regarding their associate support and candidates' experience
  • Ensure that interviewing and onboarding-related processes are running at optimal efficiency and providing a premium experience to prospective employees, recruiters, and hiring managers
  • Partner with key internal stakeholders within the HR and Legal and Compliance teams by acting as a point of contact for feedback, escalation of issues or updates regarding shared processes to ensure excellent support of the business
  • Present analytics around RA team performance in a user-friendly and consumable manner to support effective decision making across GPS Lead and HR Leadership teams
  • Lead strategic projects for GPS Talent Delivery initiatives
  • Oversee & Manage Onboarding Experience efforts globally including but not limited to:
    • Partner with HR Operations for global process documentation efforts
    • Enhance communication approach by confirming appropriate modalities, templates, audiences, etc.
    • Escalation point for background check processes including adjudications
    • Escalation point for new hire paperwork management at point of offer acceptance including offer documents, Form I-9, Legal & Compliance forms, EEO forms
    • Partner with ongoing project leads and HR stakeholders to develop governance and notification structure enabled by technology to ensure appropriate parties are kept informed as to the status and action items of onboarding for candidates
  • Oversee Recruiting Associate team responsibilities for PERM labor market test processes and partner with Employee Relations and our immigration counsel on recruiting-related necessary paperwork, documentation, and process management


Position Requirements:

  • At least 2 years management experience of a geographically dispersed and high performing team
  • Technology, data, and process-oriented mindset with experience deploying this in a global, high paced organization
  • Strong attention to detail, accuracy, and thoroughness
  • Thrives while working under pressure in a fast-paced environment with a sense of urgency for all requests
  • Ability to learn quickly, multi-task, organize, prioritize while meeting rigorous deadlines
  • Highly professional manner, including ability to handle confidential information with discretion and maturity
  • Ability to interact with vendors and employees of all levels of experience and seniority, across the organization; proven ability to provide excellent customer service
  • Excellent communication skills (verbal and written)
  • Exhibits problem solving ability, including intellectual curiosity and resourcefulness to find additional information to better understand issues and topics at hand and uses this information to present thoughtful new ideas
  • Possesses a proactive approach to accomplishing work and has immaculate follow up
  • Bachelor's degree from an accredited college/university
  • Experience with Workday Recruiter
  • Excellent knowledge of Microsoft Suite; "super user" of Powerpoint, Outlook, Word and Excel
