General Description

The Manager, Institutional Portfolio Administration will manage, coordinate, and direct the daily operations of the reconciliation team responsible for institutional, global, and other complex client portfolios managed by Parametric’s Seattle Investment Center.  This team is responsible for the daily reconciliation and other portfolio administration tasks in relation to approximately 250 individual portfolios. This position requires a hands-on manager with the ability to manage multiple deadlines, provide excellent customer service, and motivate staff.  This role will also coordinate onboarding for institutional accounts across the various operations teams. 

The person in this role must feel comfortable with completing or demonstrating best practices in work at all times. The person in this role may be tasked to represent the department to executive leadership, key stakeholders, and clients. This role will serve as a key contact for operations teams in other locations, sales and product teams, portfolio management, client service and technology areas. This role may directly supervise a team of 4-8 associates and may have associates that are required to work on US holidays.

Primary Responsibilities

  • Demonstrates strong leadership and supervisory skills and an extensive knowledge of client portfolio reconciliation processes, primarily in the Institutional area
  • Responsible for coordinating onboarding of institutional and other complex accounts across investment operations teams. This includes determining resources and capabilities, evaluating client and custodian needs, reducing risk and translating needs and business process requirements to other areas of the firm, including technology development resources.
  • Responsible for client reporting deliverables including Institutional reporting, client audits and other deadline-related deliverables
  • Maintains an excellent knowledge of finance and accounting principles, practices, and controls.
  • Ensures that the department is adequately staffed on a day-to-day basis, and that all employees are trained, and cross-trained as needed. 
  • Must be comfortable with working with large datasets in MS Excel.
  • Reviews and recommends new methods and procedures to make daily operations in the department more efficient/effective. 
  • Performs wide array of developmental functions, including interviewing, performance appraisals, development planning, and corrective action/termination.
  • Manages and drives execution of large and small scale department projects and initiatives including technology components.
  • Point of escalation for internal and external clients.
  • Manages and identifies challenge areas and executes plans for improvement.
  • Continuously monitoring processes to ensure the department is current with changes in the industry.
  • Resolves issues quickly with a sense of urgency.
  • Must be able to prioritize initiatives and staff workloads during times of peak activity.
  • Must thrive in managing multiple projects, deadlines, client inquiries, etc. in a fast-paced environment.

Job Requirements

  • Bachelor’s (4-year) degree with concentration in finance, accounting, or similar field.
  • 6-10 years previous experience in the financial services industry;
  • At least three years supervisory experience required
  • Experience with Institutional accounts preferred
  • Experience with multicurrency investment accounting preferred.
  • Ability to function successfully in ambiguous conditions
  • Well organized, self-starter with the ability to analyze information and support the staff.
  • Ability to plan and prioritize.
  • Ability to meet tight deadlines.
  • Advent APX, SS&C Recon experience a plus.
  • Solid written and verbal communication skills.
  • Must communicate well with all levels of staff and management, both internal and external.
  • Must be proficient in MS Outlook and handle large volumes of email correspondence.
